Conference Chair/Faculty Advisor Job Description
The role of the Conference Chair is to ensure that conference committee members stay on track
and to facilitate communication between committee members and the Science Atlantic office.
This role involves the following duties:
● Support the mission of Science Atlantic and adhere to the organization’s policies and
Code of Conduct.
● Participate in discussion and activities that support the mission of Science Atlantic.
● Recruit and assemble a conference planning committee that involves both faculty and
students.
● Communicate with Science Atlantic, the Dean, and the Department Chair about the
necessary details of the conference including date, location, and organizer contact
information.
● Ensure that the conference will be organized and executed in accordance with Science
Atlantic’s policies.
● Act as the primary point of contact with the staff of Science Atlantic.
● Hold planning committee meetings as needed leading up to the conference date, to
ensure that all committee members and volunteers are on track to fulfill their
responsibilities.
● Support each member of the organizing team.
● Hold a logistics meeting a week before the conference and delegate day-of
responsibilities to all committee members and volunteers.
● During the conference, remain visible and available for team members and conference
participants.
● One month after the conference, draft the conference final report. Include team feedback
and general recommendations, and submit the report to both Science Atlantic and next
year’s conference organizers.
● Three months after the conference, draft the final financial report and submit it to both
Science Atlantic and next year’s conference organizers.
